Information you give us
When you contact us, request a demonstration, or become a client, we may collect your name, business name, email address, mailing address, phone number, and any information you choose to include in your message.
Information collected when our services run
When we operate an AI receptionist for a client business, our systems process inbound telephone calls placed to that business. This may include the caller's phone number, the audio and a written transcript of the call, and information the caller provides during the call, such as their name, service address, and the reason for calling. This information is processed on behalf of the client business, which controls how it is used.
Information collected automatically
Our website collects standard technical information such as IP address, browser type, pages visited, and referring page. We use this to keep the site working and understand general traffic patterns.
How we use information
- To answer your questions and respond to inquiries
- To provide, operate, support, and improve our services
- To send operational and service-related text messages and emails, as described below
- To schedule appointments and deliver information you or a caller requested
- To meet legal, tax, and recordkeeping obligations
We do not use call recordings or transcripts to train third-party artificial intelligence models for purposes unrelated to providing our services to the client business.
SMS messaging terms
We do not sell, rent, or share mobile phone numbers or SMS consent information with third parties or affiliates for their own marketing or promotional purposes. Mobile information collected for text messaging is used only to deliver the messages described in this section, and is shared only with the messaging service providers required to send them.
What messages we send
Scratch Venture and the AI receptionist systems we operate send the following types of text messages:
- Call notifications to business owners and staff. After an inbound call is handled, we text a summary to the business — who called, what they wanted, and what was scheduled or promised.
- Appointment confirmations and reminders to customers. When a caller books an appointment with one of our client businesses, they may receive a confirmation and a reminder before the appointment.
- Follow-up messages to callers. If a call is missed or dropped, or if a caller asked for information during the call, we may send a text with a booking link or the requested information.
- Account and support messages. Service, billing, and support messages to our clients.
Consent
Business owners and staff consent to receive notification messages when they engage our services and provide their mobile number for that purpose. Callers to a client business consent to receive appointment and follow-up messages when they provide their mobile number during a call and agree to be texted, or when they text us first. We do not send marketing or promotional text messages to consumers who have not agreed to receive them.
Message frequency, rates, and privacy
Message frequency varies and depends on your activity and the volume of calls to your business. Message and data rates may apply. Carriers are not liable for delayed or undelivered messages.
Opting out and getting help
You can cancel at any time by replying STOP to any message. We will send one confirmation and will not send further messages unless you opt back in. For help, reply HELP or email admin@scratchxai.com.

- Scratch Venture: New call from (404) 555-0143 — termite inspection, Lilburn. Inspection booked Thu 2:00 PM. Reply STOP to opt out.
- Your inspection with [Business Name] is confirmed for Thu, Aug 13 at 2:00 PM. Reply STOP to opt out.
How we share information
We share information only as follows:
- With the client business whose calls we are handling, since the information belongs to them.
- With service providers who make our services work — telephony and messaging carriers, cloud hosting, calendar and scheduling tools, and AI model providers — and only to the extent needed to deliver the service.
- When the law requires it, such as in response to a valid legal request, or to protect our rights, safety, or property.
- In a business transfer, if Scratch Venture is involved in a merger, acquisition, or sale of assets.
We do not sell personal information.
Call recording
Calls handled by our systems may be recorded and transcribed to operate the service, verify what was said, and improve accuracy. Recording practices are configured with each client business to comply with the recording-consent laws of the states in which they operate. Where notice is required, callers are notified at the start of the call.
How long we keep information
We keep information for as long as needed to provide our services and meet legal obligations. Call recordings and transcripts are retained according to the agreement with each client business, and are deleted on request unless we are required to keep them.
Security
We use industry-standard safeguards including encryption in transit, access controls, and limited administrative access. No system is perfectly secure, and we cannot guarantee absolute security.
Your choices and rights
You may ask us to access, correct, or delete personal information we hold about you by emailing admin@scratchxai.com. Depending on where you live, you may have additional rights under state privacy law. We will respond within the time the law requires.
Children's privacy
Our services are for businesses and are not directed to children under 13. We do not knowingly collect information from children under 13.

Services
We provide AI phone receptionist, automation, and integration services as described in a written proposal or agreement with each client. The specific scope, fees, and term are set out in that agreement, which controls if it conflicts with anything on this page.
Client responsibilities
Clients are responsible for the accuracy of the business information they provide, for holding any licenses their business requires, and for complying with the laws that apply to communications with their own customers — including obtaining consent for any outbound calls or messages sent on their behalf.
Acceptable use
Our services may not be used for unlawful, deceptive, or harassing communications, for unsolicited telemarketing without proper consent, or in any way that violates carrier requirements or applicable law.
No professional advice
Nothing on this website or produced by our systems is legal, financial, insurance, medical, or other professional advice.
Disclaimers and limitation of liability
Our services are provided "as is." We do not warrant uninterrupted or error-free operation, and telephony and third-party services are outside our control. To the fullest extent permitted by law, our total liability arising out of the services is limited to the fees paid by the client in the three months preceding the claim, and we are not liable for indirect, incidental, or consequential damages.
Governing law
These terms are governed by the laws of the State of Georgia, without regard to its conflict-of-laws rules.
